The Mitani Sangyo Group has made protecting the health and safety of our employees a top priority and is working to prevent workplace accidents, promote and maintain employee health, and create a workplace environment where employees can work with peace of mind.

  1. We will prioritize safety in all activities and operations
  2. We will identify and make visible all potential risks in the workplace, physical and otherwise, via risk assessments, and strive to reduce and eliminate risk as part of efforts to cultivate a safe workplace environment.
  3. We will adhere to the Industrial Safety and Health Act, Road Traffic Act, and other relevant laws and regulations as well as Group-established rules.
  4. We will carry out planned and systematic education that looks back on past accidents as case examples and covers workplace safety, health, and traffic safety in order to boost safety-related awareness.
  5. We will promote the preservation and improvement of physical and mental health while encouraging self-motivated management of personal health among employees.
  6. We will strive to establish a safety-oriented corporate culture in which each employee feels motivated to proactively take part in the pursuit of a safe and healthy work environment.
  7. We will disseminate this health and safety policy among all Mitani Sangyo Group employees while also publicizing it outside of the Group.

We hereby declare the following policy to ensure the proper and safe handling of personal data, which in turn protects the client information entrusted to us.

  1. We recognize the importance of protecting personal data. When acquiring, using or providing personal data, we observe our Management System for Personal Data Protection which was established based on the Japanese Industrial Standards' “Personal information protection management systems - Requirements ”(JIS Q 15001). Our program stipulates, among other things, prohibiting the use of personal data beyond the specified scope of use as well as the administration of any necessary measures to enforce this prohibition.
  2. We will implement the necessary preventive measures to protect against personal data-related risks including unauthorized access, loss, damage or alteration of said data. In the event of a problem, we will promptly take appropriate remedial measures.
  3. We will comply with all laws, government guidelines and other regulations governing the protection of personal data.

Mitani Sangyo Co., Ltd. and Mitani Group companies (hereinafter referred to as the “Company”) are aware that protecting the personal information of all individuals who provide personal information to the Company (hereinafter referred to as the “Principals”) through our business activities is an important responsibility of the Company as a business that handles personal information, and the Company strives to protect personal information in accordance with the personal information handling policy set forth below.

  1. Acquisition of Personal Information
      The Company acquires personal information through lawful and fair means.
  2. Purposes of Use of Personal Information
    1. The Company uses personal information for the purposes of the business activities set forth below and corporate activities related or incidental to those business activities in accordance with laws and regulations, the guidelines and guidance of government ministries and related bodies, and internal rules.

    2. The Company does not use personal information beyond the scope of the initial purposes of use without the Principal’s consent. The Company’s purposes of use of personal information are as follows.
      • To introduce the Company’s products and services and to provide information on seminars and the like and the Company’s business activities
      • To communicate and confirm with customers to whom the Company has provided products, services, and so on
      • To respond to consultations, inquiries, requests for materials, and so on submitted to the Company and to provide materials
      • When entrusted to perform services that involve the handling of personal information, to process the relevant information to the extent of entrustment by the customer
      • To exercise shareholder rights and perform the Company’s duties pursuant to the Companies Act and other relevant laws and regulations
      • To perform personnel management, attendance management, wage calculation and payment, operational management, and safety management with respect to the Company’s employees
      • To prepare legal records relating to the payment of monies and the like
      • To perform screening for hiring, and to provide necessary recruitment activity information, application guidelines, and so on
    3. The Company does not use personal information in any manner that is likely to encourage or induce illegal or unlawful conduct.
  3. Personal Information Security Control Measures
      To prevent leaks of and other incidents involving personal information, the Company maintains personal information in an accurate and up-to-date state and strives to protect personal information by taking appropriate security control measures in accordance with laws and regulations, the guidelines and guidance of government ministries and related bodies, and internal rules. The specific security control measures that the Company takes are as follows.
    1. Formulation of a fundamental policy
    2. To ensure the proper handling of personal information, the Company has formulated a fundamental policy concerning compliance with laws and regulations relating to the protection of personal information, as well as desks for responding to questions, complaints, and other matters.
    3. Establishment of rules relating to the handling of personal information
    4. The Company has established internal rules relating to the acquisition, use, retention, disposal, and other handling of personal information.
    5. Organizational security control measures
    6. The Company has appointed persons responsible for the handling of personal information, clarified operations relating to the handling of personal information and users of personal information, and established a framework for periodic inspection regarding and maintenance of compliance with laws and regulations relating to the protection of personal information and internal rules through audits.
    7. Human security control measures
    8. The Company conducts employee training on points of concern with respect to the handling of personal information. The Company also enters into confidentiality agreements concerning trade secrets and personal information with Company employees and other parties who handle personal information such as service providers.
    9. Physical security control measures
    10. To ensure the security of customers and the Company on Company premises and in Company offices, the Company operates building and room access control systems including monitoring cameras. Equipment (such as PCs and external storage media) used to handle personal information and documents and the like that contain personal information are stored in physically lockable sites and accesses are restricted by ID cards to prevent access by unauthorized persons as well as theft and loss.
    11. Technical security control measures
    12. The Company uses access controls to limit the scope of personal information handled and users. The Company has introduced mechanisms to prevent unauthorized access to information systems used to handle personal information and to prevent destruction and leaks of data. In cases where equipment used to handle personal information is removed from the premises of the Company, data recorded internally on such equipment is encrypted so that personal information will not be easily leaked.
  4. Provision of Personal Information to Third Parties
      Except in cases specified in laws and regulations relating to the protection of personal information, the Company does not provide personal information to third parties without the prior consent of the Principal.
  5. Joint Use of Personal Information
      To respond appropriately to requests, inquiries, and so on from customers, the Company jointly uses names and contact information that the Company acquired from Principals with subsidiaries that are included in the List of Group Companies on the Company’s website. When jointly using personal information with Group companies, the Company bears responsibility concerning such use. In addition, the Company jointly uses personal information for the purposes of sharing information with relevant parties in the business related to air-conditioning facilities.   6. Inquiries concerning Disclosure of Personal Information and Other Matters
      When the Company receives a request from a Principal for disclosure, correction, supplementation, deletion, cessation of use, erasure, or cessation of provision to third parties with respect to personal information in the Company’s possession, the Company responds without delay in accordance with laws and regulations relating to the protection of personal information.
    Inquiries to the Company concerning personal information should be directed as indicated in the Company’s Personal Data Protection Policy.
